Social Media Profile Setup Checklist for Small Businesses

Social media profile setup looks simple, but a few early choices decide how professional your business looks and how easy it is to find. A mismatched name, a blurry logo or a bio with no next step costs you followers before you’ve posted anything. This ten-step checklist covers what to get right, in the order that saves rework. If you’re still choosing a name and logo, start with our guide to choosing a brand name and logo.

Before You Start: Pick Where to Be

You don’t need every platform. Choose one or two where your customers already spend time, set those up well, and add others later. A neat, active profile on one platform beats five half-finished ones.

Social Media Profile Setup: 10 Steps

1. Choose your platforms

Ask where your customers look for businesses like yours. A salon or café usually needs Instagram and Facebook. A consultancy may need LinkedIn. Start with the ones you can keep up.

2. Use the same name and handle everywhere

Search your business name on every platform before you commit, and aim for the same handle on each. Our guide on how to check business name availability in India covers checking social handles. If the exact handle is taken, adding your city is a common workaround.

3. Use a business account, not a personal one

On Instagram, switch to a professional account. Per Instagram’s help page, you’ll find it under account type and tools, where you choose Business or Creator. Instagram describes Creator accounts as best for public figures, content producers, artists and influencers, so most small businesses should pick Business. Switching also makes your profile public, since professional accounts can’t be private, so check before you switch. On Facebook, create a Page for your business instead of using your personal profile.

4. Use your logo as the profile picture

Most platforms crop profile pictures into a circle, so keep the logo centred with some space around it. Test it at a small size to make sure it’s still readable. Our guide to logo file formats explains which file to upload, and our list of logo mistakes shows what to avoid.

5. Add a cover or banner image

Use one clear banner in your brand colours that says what you do. Keep the text away from the edges, because different devices crop banners differently. Our guide to brand colours and fonts helps you stay consistent.

6. Write a clear bio

A good bio says who you serve, what you do and what to do next. On Instagram, the current bio limit is 150 characters, so every word counts. For example: “Home bakers in Nashik. Custom cakes for birthdays and weddings. Order on WhatsApp.”

7. Add your contact details and website

Add your phone number, email and website link. If you don’t have a website yet, see how to build a small business website. Make sure the link goes to a page that is actually useful for someone coming from social media.

8. Add your location and hours

If customers visit you, show your address and opening hours, and keep them identical to your Google profile. Our guide to set up a Google Business Profile explains how to get that right.

9. Pin or feature your best content

Pin a post that explains what you do, and feature your most important information, such as services or how to order, where visitors will see it first.

10. View it as a stranger would

Open your profile on a phone, logged out if you can. Check the name, picture, bio, links and buttons. Ask a friend what they think the business does within five seconds, and fix whatever confuses them.

Keep Everything Consistent

Write down your handles, bio, colours and contact details in one place, so anyone who posts for you uses the same details. Update every profile whenever your phone number, address or website changes.

Common Mistakes

Using a personal profile as a business page, using different handles on each platform, linking to a broken or irrelevant page, and uploading a blurry or cropped logo are the usual problems. All of them take minutes to fix once you notice them.
